Text of the clauses

These are the clauses included by default. What appears in brackets is replaced by what you type in the form.

  1. 1. Booking The Photographer will photograph [event] on [event date] at [venue / location] for [hours of coverage] hours of coverage. The date is reserved only when this contract is signed and the deposit is paid.
  2. 2. Deliverables The Photographer will deliver: [deliverables]. The selection and editing of the images are at the Photographer’s professional discretion. Unedited files are not included.
  3. 3. Price and payment The total price is [total price] [currency] ([taxes]). A booking deposit of [booking deposit] [currency] is due on signing. The balance of [balance] [currency] is due no later than 7 days before the event. Extra hours on the day are charged at the Photographer’s hourly rate, agreed in advance.
  4. 4. Cancellation and rescheduling The deposit is non-refundable, as it reserves the date. If the Client cancels less than 30 days before the event, the full price is due. If the Client reschedules and the Photographer is available on the new date, the deposit is transferred once at no cost.
  5. 5. Photographer unavailability If the Photographer cannot attend for serious cause (illness, accident, force majeure), the Photographer will make every effort to provide a replacement of similar quality; if none is found, all amounts paid are refunded and no further liability arises.
  6. 6. Cooperation and conditions The Client will provide access to the venue, a schedule of key moments and, where needed, permission from the venue. The Photographer is not responsible for missed shots caused by venue restrictions, weather, guests or changes to the schedule.
  7. 7. Image rights The Photographer owns the copyright in the images. The Client receives a licence for personal, non-commercial use, including printing and sharing. The Photographer may use the images for portfolio, website and social media unless the Client opts out in writing before the event.
  8. 8. Delivery and storage Images are delivered digitally. The Photographer keeps backups for at least 6 months after delivery; the Client is responsible for storing the files once received.
  9. 9. Liability In the unlikely event of loss or damage to the images, the Photographer’s liability is limited to a refund of the amount paid. Neither party is liable for indirect losses.
  10. 10. Governing law and signatures This agreement is governed by the laws of [governing law]. The parties sign it electronically, which has the same effect as a handwritten signature, and each receives a signed copy.
These templates are general models in plain language. They are not legal advice. For large, unusual or regulated projects, have a lawyer review the contract.

Frequently asked questions

Why is the deposit non-refundable?

Because booking a date means turning down other clients for it. The contract says so explicitly, which is what makes it enforceable.

Can the client stop me using the photos on Instagram?

Yes, by opting out in writing before the event. The default is that you may use them for portfolio and social media.

Does it work for videographers or other events?

Yes. Change the deliverables and the event description; the structure (booking, deposit, cancellation, rights) is the same.

How does the couple sign?

Send them the link: they read the contract, sign on their phone and both of you receive the signed PDF with an audit trail.
